When we were first introduced to Adelaide Retaining Walls the business was undergoing a significant overhaul; they had recently made the move to Xero, were in the middle of moving to a larger premises and now had more work and staff than ever before. Whilst they’d made the move to Xero no one was responsible for ensuring their accounts were maintained accurately. Only a small percentage of supplier invoices went through any form of approval process or were entered into Xero.
Job management consisted of manila folders of documents that frequently get lost and messy spreadsheets accessible by one staff member at a time. Tasks were regularly being missed and we have no doubt all these factors were impacting on the bottom line.
We started by getting their backend processes organised consisting of the implementation of Invitbox for accounts payable and Receipt Bank for capturing smaller transactions as well as converting as many key suppliers over to electronic invoicing as possible. Their Xero file had been neglected so we also went through the process of rectifying this.
The implementation of WorkflowMAX for a business of this size has not been without its challenges but Adelaide Retaining Walls are now starting to see the benefits. Jobs now flowing through the system from initial enquiry through to quote, acceptance, job completion, invoicing and finally payment. All key staff can now log into one accessible system and see exactly where a job is at in its lifecycle, and management can get excellent reporting regarding referral sources and job profitability.
